Position Summary

Provides administrative support for the Northern Training Assistant and Training staff; provides support to the Executive Team and Academy staff as needed; responsible for supporting the training efforts of the Academy; copies and collates curriculum for the Regional Training Project; tracks and files curriculum; places order requests for training supplies and materials; organizes training supplies and materials; sets-up and organizes training room; provides assistance to training staff; provides back-up training coverage; provides reception coverage and mail processing for the Oakland office; provides general administrative support to the Executive Team and Academy staff as needed.

The Bay Area Academy is a program of the School of Social Work that provides classroom training to child welfare social workers and capacity building services in 12 Bay Area counties.  The Administrative Support Assistant position is located in the main Bay Area Academy office in downtown Oakland.

Minimum Qualifications
Work Experience:  two or more years related experience in an office setting.
Knowledge:  general working knowledge of applicable university policies/procedures; thorough knowledge of office methods, procedures, and practices; thorough knowledge of English grammar, punctuation, and spelling.
Specialized Skills:  effective problem solving and interpersonal/communication skills; attention to detail; possess organizational and multi-tasking skills; working knowledge/use of standard office equipment such as photocopiers, printers, scanners and fax machines; basic knowledge of MS Word, Excel, Outlook, PowerPoint and Adobe Acrobat.
Abilities:  work in a fast-paced environment; learn, interpret independently, and apply a variety of complex policies and procedures; identify deviations from applicable policies; perform standard arithmetic functions of a transactional nature, including tracking and comparing data; demonstrated ability in effectively presenting standard information in writing; demonstrated ability in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions; accurately copy, collate and file materials; communicate in a professional manner with all staff.

Preferred Qualifications
Interest or experience in health or human services, education, training, event planning or printing production; familiarity with MS Access, desktop publishing applications and web-based learning management systems; ability to identify/resolve standard problems and refer more complex problems to appropriate staff.

License/Certification Required

Possess a valid Driver License as some travel may be required within the greater Bay Area; comply with the Defensive Driver Training Program requirements.

Environmental, Phys, Spec

Must be able to move boxes up to 20 lbs.

Position Summary
Provides oversight of a range of educational activities, including CWS/CMS (Child Welfare Services/Case Management System) assessment, curriculum development, training delivery, and evaluation; be a member of a team responsible for coordinating with all Academy staff, trainers, county personnel, and others as needed; supervises at least one administrative support staff.

The Bay Area Academy is a program of the School of Social Work that provides classroom training to child welfare social workers and capacity building services in 12 Bay Area counties.

Minimum Qualifications
Education:  Bachelor's degree in Social Work, Counseling, or other related field.
Work Experience:  two years experience in a public social service agency; training experience and/or experience in coordinating program delivery in a staff development program experience in policy development and implementation successful experience in conducting meetings and facilitating groups; demonstrated experience in working in collaboration with other professionals.
Knowledge:  general knowledge of administrative survey principles and techniques and skill in their application; general knowledge of principles of organization and management; thorough knowledge of the subject area of the assignment; working knowledge of statistical methods.
Specialized Knowledge:  expertise in CWS/CMS (Child Welfare Services/Case Management System) including county assessment, training and curriculum development; demonstrated knowledge of current child welfare practice with a focus on CWS/CMS.
Skills:  demonstrated professional writing and communication skills; fluency in computer skills, including CWS/CMS, spreadsheets, word processing, and desktop publishing.
Abilities:  approach problems objectively; present findings and recommendations clearly/diplomatically and reconcile, to the extent possible, various divergent points of view; utilize complex statistical and other types of research methods; draw conclusions and develop recommendations, prepare written reports, and develop and high level contacts including the leading of meetings and negotiations.
Specialized Abilities:  proven ability to design and conduct a training needs assessment; supervise the work of support staff.

Preferred Qualifications

Master's degree in Social Work, Counseling, or other related field; two years experience in the Child Welfare field; expertise in CWS/CMS application including, but not limited to, scenario manager, training region, business objects, and safe measures; ability to analyze and interpret data by using business objects, safe measure and the CWS state database.

License/Certification Required
Possess a valid California Driver License to travel within the Bay Area and throughout the state; comply with the Defensive Driver Training Program requirements.

Environmental, Phys, Spec
Must be able to frequently travel within the 12 Bay Area counties; ability to travel within greater California for statewide meetings and other events as needed; must be able to move boxes weighing up to 20 pounds.

Position Summary
Serves as the lead administrative coordinator for the San Francisco Training Project and the CWS/CMS (Child Welfare Services/Case Management System) Project, serving all 12 Bay Area Counties including San Francisco; responsible for pre-training and day of training logistics such as making handouts, classroom set-up, setting up Audio-Visual equipment, and interacting with trainers and training participants; responsible for gathering and tracking data, scheduling, preparing training reports, and providing general administrative support functions to Academy and County staff; mentors and trains other staff in the position's job duties and responsibilities as needed; may serve in the absence of the CWS/CMS Project Coordinator or San Francisco Training Project (SFTP) Administrative Training Coordinator.

Skills:  thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
Specialized Skills:  demonstrated professional writing and communication skills; demonstrated organizational and multi-tasking skills; fluency in computer skills, including spreadsheets, word processing and database applications.
Abilities:  independently handle multiple work unit priorities / projects; apply independently a wide variety of policies and procedures where specific guidelines may not exist; perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections; draft / compose correspondence and standard reports; handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
Specialized Abilities:  edit and synthesize material from other staff; communicate in a professional manner with all Academy and County staff; work independently with minimal supervision; develop and follow through on an agreed upon work plan.

Preferred Qualifications
Bachelor¿s degree or equivalent administrative work experience; Social Services background; training experience in a child welfare setting; experience in program coordination and management; experience/familiarity with CWS/CMS (Child Welfare Services/Case Management System); basic knowledge of MS Word, Excel, PowerPoint, Access, Outlook, Adobe Acrobat, database and web-based learning management systems, and desktop publishing applications.

License/Certification Required
Possess a valid California Driver's License to travel within the greater Bay Area; comply with the Defensive Driver Training Program requirements.
